1. Information we collect
Depending on the event and how you interact with us, we may collect:
- contact details such as your name, mobile number and email address;
- event information such as your invitation, RSVP response, party size, seating assignment and attendance status;
- information you choose to provide for event arrangements, including accessibility, dietary or allergy requirements;
- messages and responses exchanged with The Gate Events through WhatsApp or another support channel; and
- basic technical and delivery records needed to operate and secure our messaging and event systems.
We may receive your details directly from you or from the person or organisation hosting the event.
2. How we use information
We use personal information only as reasonably necessary to:
- send invitations, confirmations, reminders and important event updates;
- record and manage RSVPs, guest lists, seating, entry and guest requests;
- respond to messages and provide event support;
- operate, troubleshoot and secure our systems;
- meet contractual, accounting, safety and legal obligations; and
- protect the rights and safety of guests, clients and The Gate Events.
Where required, we rely on consent. We may also process information when necessary to provide an event service requested by you or the event host, to meet a legal obligation, or for a legitimate operational interest permitted by applicable law. You may withdraw consent by contacting us, although this does not affect processing already lawfully completed.
3. WhatsApp communications
When you communicate with us through WhatsApp, your mobile number, profile information made available by WhatsApp, messages, responses and delivery information may be processed through the WhatsApp Business Platform provided by Meta. Your use of WhatsApp is also governed by WhatsApp’s own terms and privacy notices.
We use WhatsApp for event-related communications. We do not sell your WhatsApp information or use it for unrelated third-party advertising.
4. When information is shared
We may share the minimum necessary information with:
- the event host and authorised event staff;
- Meta and WhatsApp for messaging and message-delivery services;
- trusted service providers supporting hosting, guest lists, ticketing, seating, communications, security and technical operations; and
- regulators, courts, law-enforcement bodies or other parties when required by law or necessary to protect legal rights and safety.
Service providers are permitted to use information only for the services they provide to us and must protect it appropriately. Some providers may process information outside the UAE; where applicable, we use appropriate safeguards for cross-border transfers.
5. Retention and security
We retain personal information only for as long as needed to operate the relevant event, provide support, maintain necessary business records, resolve disputes and meet legal obligations. When information is no longer required, we delete or anonymise it.
We use reasonable administrative, technical and organisational safeguards designed to prevent unauthorised access, loss, misuse or alteration. No internet or storage system can be guaranteed completely secure.
6. Your choices and rights
Subject to applicable law, you may ask us to explain how we use your information, provide access to it, correct inaccurate details, delete it, restrict or object to certain processing, or provide a portable copy where applicable. You may also withdraw consent and raise a concern with the relevant data-protection authority.
You can stop event messages by replying with a clear request such as “STOP” or by contacting us. We may still send a strictly necessary service or safety message when legally permitted.
7. Children’s information
Our services are intended for event guests and clients. We do not knowingly request personal information directly from a child without appropriate involvement from the event organiser, parent or guardian.
8. Data deletion
To request deletion of information connected to The Gate Events, email info@tgevents.ae with the subject “Data deletion request”. Include the name, mobile number and event needed to identify the relevant record. Do not send identity documents unless we specifically request them through an appropriate channel.
We may ask for reasonable verification before acting on a request. We will delete or anonymise eligible information and confirm the outcome, except where retention is required for legal, security, accounting or dispute-resolution purposes.
9. Changes to this policy
We may update this policy when our services, providers or legal obligations change. The effective date at the top shows when this version took effect.
